Position Summary

The Sales and Executive Administrator directs the physical operations of the office and plays an important role in communication and coordination of all office activities.  This position demands a progressive-thinking innovating team player that has an absolute command of the direct relationship between the clients' needs, the Company's needs, and the needs of its employees.  The Sales and Executive Administrator will possess administrative and organizational skills, professional telephone presence, and customer orientation.  Central to this position is a strong sense of integrity, honesty and high ethics.  Knowledge of common office administrative systems and procedures is required, as is a high degree of accuracy and confidentiality.

 

Qualifications/Skills Required

  • Field customer calls and inquiries, route calls to correct channels and respond to customer requests and questions.
  • Prepare customer Communications as directed.
  • Works effectively on many projects simultaneously and as part of a team.
  • Troubleshoots and resolves routine issues as they occur or are assigned by the President.
  • Ensures the office is operating in an efficient manner including office equipment (copier, fax, etc.).
  • Manages and prioritizes projects independently with minimal direction and supervision.
  • Open, sort and distribute incoming mail, and dispatch outgoing mail.
  • Coordinates and schedules appointments and maintain calendars for executives.
  • Secures reservations for travel arrangements that may include airline, hotel and/or auto rental.
  • Orders office supplies.
  • Creates templates, letters, memos, proposals, reports, invoices, and other correspondence.
  • Establishes and maintains records and files and keep all files in an orderly fashion.
  •  Maintains an organized and clean work environment.
  •  Runs occasional errands outside of the office.
  • Goal and results driven; operates with a sense of urgency to meet and beat client and management expectations
  • Provides customer support through prioritizing information and making responsive recommendations.
  • Resolves customer complaints and issues in a professional yet personable way.
  • Provides key leadership in procedural improvements needed to minimize bottlenecks, to maximize communication, and to improve efficiency.
  • Synchronizes Trade Show efforts.

 

 

 

 

 

Education/Experience Required

  • Requires a 2-year technical certification (technical job) or equivalent work experience or high school (non-technical job) with a minimum of zero years of related experience.
  • Proficient with Microsoft Office based programs, especially Word, Excel and Outlook.
  • Proficient with Customer Relationship Management software, especially Salesforce.com.

 

 

Work Environment

  • Climate controlled office environment, no physical discomfort due to temperature, dust, noise and the like.  May have limited exposure to manufacturing areas that require the usage of PPE.

 

Physical Demands

  • Frequently required to sit.  Occasional walking, standing, stooping and kneeling.  Frequently lift up to 10 pounds, occasionally lift or move up to 25 pounds.
